Law firms opt for cutting edge technology to control meeting room resources using Condeco

The new advanced version of Condeco, which has been released by RNM Systems Ltd, is an online business tool used by many corporate businesses to book, manage and control meeting rooms and resources.

Law firms are choosing the most up to date technology available to improve meeting room organisation and enhance client management. Every aspect of a meeting can be arranged through Condeco. The system eliminates manual processes and subsequent errors. One centralised web based system aids resource control. It is designed to stream line resource management and improve internal communications.

National legal firm, Browne Jacobson, has recently gone live with the system.

Peter Billington, Technical Manager of Browne Jacobson, said:

“Our previous client-booking system was very manual. It was handled solely by our reception staff who booked our meeting rooms through Microsoft Outlook calendar or in hand-written books. We wanted a much better room management system which would help us deliver excellent customer service.”

They required a single web-based solution that would simplify their booking system and be an aid in providing excellent customer service. The system had to centralise and automate the process for booking meeting rooms and resources internally and externally while giving detailed MIS reports and audit trails of bookings made and key client information and stock control.

They are a growing law business with 500 plus employees and offices in Birmingham, Nottingham and London. With over 20 meeting rooms being used up to four times per day, they needed a proven working solution.

“Condeco had the best look and feel about it. It also had the best integration with Microsoft Outlook Calendars.”

He added:

“It is a forward-thinking product using the latest technology. It makes other systems look dated. Visitors have noticed the difference, expressing compliments about the professionalism of our client management.”

Condeco room and resource booking is run by a simple calendar grid system which shows exactly what rooms are available at what times, and the user can book a room and any audio/visual equipment needed. It can be integrated with the Microsoft Outlook interface. It also allows room utilisation data. The relevant information is stored on the system and can be accessed easily.

Catering requirements can also be requested, which are automatically emailed to an external or in-house catering team who also has access to an online work schedule. They can manage live requests and changes as and when they happen. Confirmation emails are then sent to the meeting host, appropriate service vendors and all the attendees. On arrival of a visitor, reception enters the name of the guest and the system will print a time-stamped visitor pass.
